A CRM your salespeople actually keep up to date

We'll set up amoCRM or Bitrix24 at the minimum level that works, so that no enquiry gets lost on the way

  • We collect enquiries from every channel: website, quizzes, chats, messengers, calls.
  • Every channel gets an end-to-end test: leave an enquiry, then find it in the right pipeline.
  • The pipeline and its rules are written down, not left only in the settings.
  • We remove manual work wherever it repeats every day.
  • We say upfront what will break on the services' side and who will fix it.

What makes us different

The minimum level that works

A CRM nobody keeps up to date is worse than a notebook: the data is there, but it cannot be trusted. So we set up not everything the system can do, but what you cannot do without — and what the team will really use every day.

The whole chain, not the CRM alone

An enquiry comes from advertising, the website or a messenger and has to reach a deal and a payment. We set up that chain end to end; otherwise the CRM only covers the middle of the path and both ends stay in the dark.

Acceptance by end-to-end test

We do not take the settings on trust. For every channel we write in as a customer, leave a contact and find it in the right CRM pipeline. We check the Unsorted inbox separately: an enquiry sitting there does not exist for the team.

The pipeline and its rules, written down

Pipeline stages, the rules for moving between them and attribution are recorded as a decision rather than kept in the head of whoever set them up. Six months later a new hire opens the document and sees why it works this way.

A measurement before we start

Before work begins we count how much time the team spends on manual copying and what errors it causes. Without that baseline, a month later there is nothing to prove the implementation changed anything.

Straight talk about support

Links between services break for reasons outside our control: APIs change, tokens expire, you switch CRM plan. We say so before the contract and agree straight away who fixes it and how quickly.

What we do

Implementation runs from the pipeline to a working system. First we agree the path a customer takes and what we count — and only then turn that into settings.

We work out the pipeline
  • We capture the sales stages as they really are, not as they are drawn.
  • We record the rules for moving between stages and for attributing enquiries.
  • We agree which figures are counted and by what method, so that reports do not contradict each other later.
We build enquiry intake
  • Website forms, quizzes, chat widgets, messengers and calls are connected.
  • Every channel gets an explicit step that creates a contact and a deal — a chatbot does not do this by itself.
  • We clear the Unsorted inbox and set things up so nothing piles up there.
We link systems and remove manual work
  • Data moves between services so nobody has to retype it.
  • Repeated actions are automated on a schedule or on an event.
  • A watchdog goes in: if a link fails or data drifts apart, a message reaches the team chat the same day, not a week later.
We test and hand over
  • Every channel gets an end-to-end test.
  • We hand over access and a description of how everything is put together.
  • We compare against the baseline: how many hours of manual work were removed and how many copying errors went away.
  • We train the team to work in the new pipeline.
What is not included
  • Automated messages to your customers in your name — mailings and auto-replies: we work only inside your systems.
  • Support after handover is a separate package of hours, agreed in advance.
  • Call tracking outside Russian telephony: the numbers come from your own operator.
  • CRM and third-party service licences are paid separately from the work.

Client reviews

I am completely sure the project is under control

Before contacting KVIN.AGENCY, I already had experience with an online marketing contractor, but the results did not meet my expectations. My task was clear: increase the number of requests and lower their cost. I was looking for an agency with experience in a similar field that could manage a large budget efficiently and deliver results quickly. Feedback on every request was provided promptly, and I was sure the budget was under control.
